1. Local-first, by design
Each Ollie app maintains its state in a directory under your home folder (for example, ~/.ollie-mail/ or ~/.ollie-suite/). This data lives on your computer and is never transmitted to us.
2. Data we receive when you activate
When you activate software with a license key — such as Ollie System or another Ollie app that uses key-based activation — the Software contacts our online license verification service and sends:
- Your license key.
- The email address associated with the license.
- An application identifier (for example,
ollie-osorollie-suite). - A timestamp of the verification request.
We use this data only to verify that the license is valid and to issue a signed verification response that the Software caches locally. We retain license verification records for accounting and fraud-prevention purposes. We do not log your IP address with the verification request, and we do not link verification records to other services.
3. What the OS itself reads
Ollie Desktop, the OS shell, reads the following local information to function:
- Your dock layout, launcher folder layout, and pinned apps (stored in
~/.ollie-desktop/). - The list of installed applications, by reading
/usr/share/applications/*.desktop. - The list of currently running X11 windows, via
wmctrl, so the dock can show indicators. - Network device status, via
nmcli, so the wifi indicator reflects reality. - Battery, volume, and similar system state via standard Linux APIs.
- When you open Ollie Catalog, the installed-state of the apps in the catalog (read locally via
dpkg-query) and any installs you initiate go through the standard Debian/Ubuntuaptpipeline. Package downloads come from the Ubuntu and third-party repositories you have configured — those servers see the same request a normalapt installwould.
None of this is transmitted to us. The desktop reads it locally and renders it locally; package downloads triggered through Ollie Catalog reach the standard Linux package mirrors, never our servers.
4. Optional cloud services you choose to enable
Some Ollie apps include integrations with third-party cloud services. These are off by default. If you choose to enable them — for example, configuring an OpenAI or Anthropic API key in Ollie Assistant, connecting an IMAP/SMTP mailbox in Ollie Mail, or syncing a CalDAV calendar — data you send to those services is governed by their terms and privacy policies. We do not see, intercept, or store that data.
5. Update checks
Each Ollie app periodically checks https://olliesystem.com/api/versions/<app_code> to see if a newer version of that specific app is available. The request includes only the standard headers a browser would send (user agent, language); it does not transmit any identifier of your installation, your license key, or any usage data.
6. Marketing site (this website)
When you visit olliesystem.com, your browser exchanges standard HTTP request data with our server (IP address, user agent, requested URL, referrer). Server logs are retained for up to 30 days for diagnostic purposes and are not used for advertising.
If we add analytics or pixel-based marketing tools in the future, this section will be updated with the specifics, and the cookies, opt-out method, and retention period will be disclosed before any such tool is enabled.
7. Payments
When you purchase Ollie System or other paid Ollie products — including Ollie Suite editions and standalone offerings such as Ollie Assistant — payment is handled by an independent payment processor under contract with us. We receive your name, email address, order summary (what you bought and the amount paid), and a payment confirmation reference. We never receive your full card number or banking credentials; the processor handles card data under its own privacy policy and terms. Totals appear only when you pay — we do not publish list prices on this marketing site. Purchase terms may change; see our Terms of Use.
8. How we use the data we do receive
- To verify license keys and issue signed verification tokens.
- To send you receipts, license keys, and important notices about the Software.
- To diagnose and fix bugs reported through our support email.
- To comply with legal obligations.
We do not sell your data, share it with advertisers, or use it to build a profile of you. We do not retain it longer than we need to.
9. Your rights
Depending on your jurisdiction, you may have the right to access, correct, delete, or port the personal data we hold about you, or to object to its processing. To exercise these rights, email us at contact@olliesystem.com. We respond within 30 days.
10. Children
Software in the Ollie family (including Ollie System) is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have, contact us and we will delete it.
11. Changes to this policy
We may update this Privacy Policy. Material changes will be posted on this page with an updated date at the top. Continued use of the Software after a change constitutes acceptance of the revised policy.
